We are seeking a strategic, collaborative, and experienced operations leader to join our Business Operations team as Senior Manager, Administrative Operations in our Washington, DC Office. This critical leadership role will help shape and elevate the administrative support model across the Firm, ensuring exceptional service delivery, operational consistency, and an outstanding experience for internal stakeholders.
The position will report directly to the Director of Human Resources and work closely with lawyers, Business Operations leaders, department directors, and practice groups. The Senior Manager, Administrative Operations will provide leadership and oversight for the Firm’s Professional Assistants, Paralegals, Office Services staff, and Branch Office Managers.
Key Responsibilities
Administrative Operations & Service Delivery
- Oversee Professional Assistants, Paralegals, Office Services staff, and Branch Office Managers to promote consistent, high-quality service delivery across offices.
- Establish and promote service standards, operational procedures, and best practices, and lead process improvement and operational initiatives to enhance service quality, efficiency, and consistency.
Serve as a resource to lawyers, Business Operations leaders, and department directors on administrative operations and service-delivery matters.
Leadership & Development
- Provide ongoing coaching, mentoring, and professional development to Professional Assistants, Paralegals, and other assigned administrative personnel.
- Conduct performance evaluations and provide ongoing, constructive feedback.
- Partner with Human Resources on performance management, talent development, staffing, and workforce-planning initiatives.
Cross-Office Coordination & Administrative Services
- Promote consistency in administrative practices and service delivery across office locations.
- Serve as the primary administrative resource for Branch Office Managers and support communication and collaboration among administrative teams and Business Operations leaders.
- Support staffing, assignments, workload distribution, coverage planning, and administrative support needs in partnership with lawyers and practice groups.
- Coordinate administrative aspects of onboarding and offboarding activities in partnership with Human Resources and other Business Operations departments.
- Coordinate administrative support for firmwide meetings, special projects, and operational initiatives as assigned.
Facilities & Vendor Coordination
- Coordinate with building management and operational vendors and support effective service delivery.
- Support office openings, relocations, renovations, workplace enhancements, and other facilities-related projects.
Qualifications
- Bachelor’s degree preferred.
- 5 - 8 years of progressively responsible administrative, operational, or management experience.
- 3+ years of leadership or supervisory experience.
- Law firm or professional services experience preferred.
- Experience supporting multiple office locations preferred.
- Strong leadership and interpersonal skills.
- Excellent written and verbal communication skills.
- Strong organizational and project-management abilities, with the ability to manage multiple priorities and changing deadlines.
- Ability to work effectively with lawyers, senior leaders, managers, employees, and other stakeholders across multiple offices.
- Strong judgment, discretion, accountability, and commitment to high-quality service.
- Ability to identify opportunities for process improvement and implement practical, sustainable solutions.
Hybrid Work Arrangement
This role follows a hybrid work model. Hybrid schedules are determined based on role requirements and business needs. Must be local to Washington, DC area.
Compensation and Benefits
The anticipated salary range for this position is: $120,000 - $140,000, representing the low and high end of the salary range. Actual compensation will be determined based on a variety of factors, including, but not limited to, job-related experience, qualifications, and internal alignment. The firm offers a comprehensive benefits package, including medical, prescription drug, vision, and dental coverage.
