The Professional Assistant in the Washington, DC Office provides administrative support to lawyers handling complex food and drug matters. The role requires strong organizational skills, attention to detail, and the ability to manage multiple deadlines in a fast-paced environment.
This position supports multiple lawyers and matters simultaneously and requires flexibility to respond to shifting priorities.
Essential Responsibilities:
- Prepare, format, and proofread legal documents and correspondence producing high quality work with accuracy and attention to detail.
- Coordinate lawyer schedules, meetings, depositions, and court appearances.
- Manage travel arrangements for attorneys by booking travel, preparing itineraries, obtaining visas (if necessary).
- Conduct research and provide background information to assist attorneys.
- Maintain organized and complete electronic and physical case files.
- Communicate professionally with clients, court personnel, opposing counsel, and internal team members while maintaining confidentiality and discretion.
- Monitor, screen, and route incoming calls, emails, and mail to ensure timely follow-up.
- Assist with time entry, billing review, expense reconciliation, and other matter-related administrative functions.
- Manage special and one off projects.
- Help with coverage on the reception desk, when needed.
- Perform other duties as assigned.
Qualifications:
- Bachelor’s degree preferred or equivalent combination of education and relevant litigation experience.
- Minimum of two (2) years of litigation legal assistant experience.
- Experience supporting multiple lawyers and matters simultaneously.
- Ability to work additional hours as required to meet deadlines.

Technical Skills:
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Familiarity with NetDocs (Document Management), Aderant Milana (Docketing and Calendar Management), InTapp (Time Entry), ChromeRiver/Emburse (Expense Management) or similar systems.
Hybrid Work Arrangement
This role follows a hybrid work model. Hybrid schedules are determined based on role requirements and business needs. Must be local to Washington, DC area.
Compensation and Benefits
The anticipated salary range for this position is: $65,000 - $85,000, representing the low and high end of the salary range. Actual compensation will be determined based on a variety of factors, including, but not limited to, job-related experience, qualifications, and internal alignment. The firm offers a comprehensive benefits package, including medical, prescription drug, vision, and dental coverage.
